Vacation - Unscheduled

Greetings,

I understand there have been some questions about VACU and how it is used (or assigned) in SAP. I went to Ophelia with this question and she responded quickly. Below is her response. Please comment if there are any questions or a need for further clarity.


If vacation time is submitted on a 605 after the time has already been entered into SAP, then the vacation time is coded as VACU. Below is the definition of terms according to our HPL Policy 5.0.

The key is that if the employee does turn in the 206 on time, the manager must be sure the timekeeper receives it timely. If there is some delay between manager approval and timekeeper entry on that week’s timesheet, then a 605 will be generated and a VACU will appear.

B. Definition of Terms

a. Scheduled absence: An employee is unable to report to work and the supervisor approves the absence. Absence may be paid or unpaid according to accrued leave usage guidelines.

b. Unscheduled absence: An employee is absent without prior approval due to an unforeseeable or unplanned event. Absence may be paid or unpaid according to accrued leave usage guidelines."

The question I am recieving is not an explanation of the policy, but where the policy originated. This seems to be an HPL policy. Does HPL have a right to create its own absence policy that effects an employees standing, and if so, how was this policy generated and what are the employees avenue of appeal if they believe this policy to be wrong spirited?

I would add that anyone who feels a policy or procedure needs to be reconsidered can let the Policies and Procedure team know. The best person to contact is Veronica Davidson who heads up the team. Let her know exactly which policy or procedure (by number and title) you are concerned with and she will bring your concerns to the group's next meeting.

Please see below from Christi Weems for a quick understanding of the role SAP plays in this:
"VACS and/or VACU recorded on the timesheets by the manager will be processed as such. Vacation requests submitted on Form 605 are treated as unscheduled."

There is no HPL policy that states that someone receives VACU if their request is not turned in within two weeks of their desired day off. HPL's policy (5.0 B1) defines Unscheduled Absence as "without prior approval"; it does not define a timeline. That type of guideline is at the discretion of the manager.

If the question is about the attendance criteria used for EPEs, that was put in place by a previous administration and continues to be followed.
