Flood Damaged Items



04/18/2016 Flood Damaged Items


Fines and Fees:
  • The Symphony system has been set to see 04/18/2016 as a closed date for fines purposes.  No fines will accrue for those days.
  • Fines that accrue for other overdue days are legitimate and should be collected.

Items damaged/lost as a result of the 04/18/2016 flood:
  • Check in the item from the customer record.
  • Check the item out to your locations 160418FLOOD agency record.
  • Dispose of the damaged item.

Accounts in Collection:
  • Items reported as flood damaged on accounts In Collection will not be forgiven.
  • Charges remain owed on these accounts.
  • Refer customers in collection with concerns about flood damaged items on their accounts to Circulation Administration.

Flood Damaged Item Discards:
  • Look up your location’s Flood Damaged Item account:
    • In Check Out, use the User Search Helper to look up the account using the following name: 160418FLOOD, then select the account with your agency’s acronym (ALI, CEN, BLU, etc.).
    • Or look the account up by using the following pattern: 160418FLOOD- followed by the agency acronym, such as 160418FLOOD-ACR.
  • Check the flood damaged item out to your location’s Flood Damaged Item account.
  • Dispose of the flood damaged item.

Holds:
  • Items set to expire from the Holds Shelf on 04/19/2016 will be extended to 04/21.

Training Reminders

Hello,

Suzy wanted to share some training reminders with all of Customer Experience.
  • The next round of On-Boarding Training (New/promoted employees) is scheduled for April 11-14.  This is mandatory for new employees.  Register for the training on the Training Portal.
  • Next round of Supervisors Basics is scheduled for April 19th-22nd.  This training is mandatory for all new supervisors and is offered quarterly.  Supervisors who would like a refresher on supervising are also welcome to register as space allows.  Register for the training on the Training Portal.  NOTE:  This is the same week as TLA so supervisors need to be sure of coverage before registering for the training.
  • Check out the Training Calendar for other upcoming training opportunities.  Register for classes there.
  • If staff members want to take a class that requires funding, Supervisors and HPL Training must approve all classes prior to the class.  This includes webinars that require payment.  Staff should fill out the Training Request/Approval Form, send it to the supervisor and then the supervisor completes the justification and sends it to HPL Training.  Instructions can be found here.  Travel paperwork must be completed when training requires funding, even webinars.
  • Learning and Development Classes:  Supervisors must complete the request process above for LDC classes as well.  The online classes through TMS are generally free and do not require the same approval.  Any LDC class (except Defensive Driving) needs to be job appropriate and approved by the supervisor and HPL Training before registration is completed.  
  • New Employee Checklists are on the Training Portal under Onboarding.  Once the week 1 and week 2 checklists are completed, copies should be retained for the employee and supervisor and a copy should be sent to Liz Sargent in the CE Administration Office at Central.
  •  There are many helpful tools about library functions on the Training Portal under Learning Resources-Library Functions.
  • Lynda.com training:  Staff can take job appropriate Lynda.com courses and get training credit for them.  Supervisors should approve classes.  Send certificates to HPL Training.  They will round the credit hours to the nearest 30 minutes.  Some classes are odd amounts like 52 minutes or 1 hour 3 minutes.
  • Defensive Driving Certificates:  Employees should take DDC every 3 years.  They should retain a copy of their own certificate and send a copy to Sharon Alvarez in HR.  Training does not need a copy of the certificate.
  • HEAR Questions:  Direct HEAR questions to Chanta George and Valda DeWitt. 
  • Gale Courses:  All courses receive 6 hours of training credit.

Remote Access to Databases

There is a glitch in the database authentication system that is preventing some library accounts to grant remote access. Digital Strategies’ staff are working to resolve this issue In the meantime, please use 000000 (six times zero) as a temporary number to access databases remotely.

Salvage

Hello,

Here are the new Salvage procedures. Download the salvage form to Excel and complete it with the information about the items that need to be salvaged.  Email it to Celeste Diaz and copy Yolanda Anguiano and your Senior Manager.

Liz Sargent or the appropriate Senior Manager will approve the request and add it to the spreadsheet and send it to Jason Stephens in SPACES.  Jason will then approve it and forward it to Financial Services and FIDS.  If it is not approved, Jason will follow up with the appropriate Senior Manager.  FIDS will pick up salvage for the items that are on the signed approval forms.
