TSLAC and HBMG Consulting

Hi, Team,

Beginning next week, Managers and Assistant Managers will be contacted by representatives from HBMG Consulting on behalf of the Texas State Library. If you receive a call from Bill Kleinebecker (area code 512), please work with him to schedule a site visit. During the site visit, please assist the HBMG consultants in conducting their of assessment of HPL technology and current practices. They will be interviewing Managers and staff and may be installing a Web enabled tool that collects data.

Please allow them access to our computers and servers. If you do not have a key to the server, please contact Elva Alvarez immediately so IT can arrange for access.

Thank you so much!

Best regards,

Mary Wagoner, M.L.I.S.

Open Discussion

Please see the notes from last week's open discussion.  As a follow up, please share scheduling tips, team building exercises, and mentoring and coaching tips employed at your location that foster teamwork and staff support for the grouping concept.

Open Discussion: What can you do as leaders in the organization to make the groupings work better?

Group 1: Give Sr. LAs and LAs empowerment, authority and training. Have 2 Librarian IIs or assistant managers, or appoint a person in charge at the 3rd location in a grouping. Hold group meetings. Have more cross-training and reinforce through scheduling.

Group 2: Ask for more staff input and cross training. Share expectations and communicate any changes as well as a clear chain of command. Encourage teamwork. Address PR issues immediately. Use team builder exercises.

Group 3: Move staff only when necessary. Use blog to communicate. Have regular group meetings or conference calls once a month. Have group parties. Switch staff to other groupings if there are issues. Make a “who’s in charge” list.

Group 4: Hold monthly meetings to address staff concerns and communicate information. Train staff to deal with familiarity between locations. Have a supervisor at “closed” locations.

Group 5: Have more communication in the form of blog postings and emails. Hold networking lunches with assistant and branch managers. Make plans for staff projects to get finished. Conduct more formal training for paraprofessionals. Tap into people’s leadership abilities. Create cheat sheets or quick guides on what to do if a particular situation arises. Bring back staff development day. Have more coaching, mentoring, and team building exercises. Make staff aware of their authority. Designate a leader by establishing a clear chain of command. Share a list of suspended customers between locations and post to the NL blog with a description of the person.

Internet Connection at the Library

The Internet connection at the library is slow and you may be getting a lot of unhappy customers frustrated with the speed of the Internet.

In case you or a staff member is approached by a customer complaining about the speed of the Internet, here is some information you can use to answer some of their questions:

Do apologize to the customer for experiencing problems with the Internet at the library and let them know that our IT help desk is aware and working hard to resolve the issues as quickly as possible.

We have an average of 380,000 customers visit our libraries in a month and that is average of 20,000/day. Nearly 100,000 customers use computers in the library every month. Every customer entering one of our libraries immediately takes up one Internet connection due to their Smart Phone, e-reader or another tablet device. At any given time, our Internet usage peaks around 383 MB on our 500 MB pipe.

Any website that is accessed via the library computers has to go through Smart Filter/CIPA firewall first and that is another reason of slow Internet connectivity. CIPA or Children Internet Protection Act is a federal law enacted by Congress to address concerns about access to offensive content over the Internet on school and library computers.

Please keep printed Comment forms to offer to customers so they can submit comments when the Internet is down. Do let your Team Leader know if you have any question.

Thanks,

Shammi

Tip for Incident Reports

Hi,

If there is an incident in which HPL arrives and leaves before staff is able to get a case number or incident number, you can call (713) 884-3131.  HPD tracks calls for service and can supply you with a number.

Please have a safe New Year!

Best regards,
Mary Wagoner
